A Computerized Maintenance Management System, abbreviated as CMMS, is a special kind of B2B software designed to help organizations streamline and manage their maintenance operations.

A CMMS typically has five key functionalities.

  1. Asset Management: Used to make a list of and keep track of assets across one or more locations.

  2. Work Order Management: A system to create 'tickets' when any work needs to be done on an asset.

  3. Preventive Maintenance: A system to undertake periodic maintenance activities on assets even though they are working properly for early identification and fixing of problems.

  4. Inventory Management: A system to log and track replacement parts and consumables that are needed for assets.

  5. Reporting and Analytics: An information system to report on all the first four activities.

Why do organizations need a CMMS?

Every organization, no matter the size or scale, produces goods and/or services. To do so they employ a fleet of machines. A machine could mean anything - a truck, a turbine, a spinning wheel, a lathe ... just about anything that helps the organization produce goods or deliver services.

An organization can achieve profitability only when these machines run well and on time. That means the machines have to be taken care of. In the early days of industrialization, the people in-charge of these machines used a pen and paper or some kind of book keeping to track and maintain these machines. With the advent of computers, the pen and paper system got replaced by software. Over time the software used for these maintenance activities acquired the name CMMS - Computerized Maintenance Management System.
